[A] Budget: Looking for Proposals
[B] Scope of Service:
(1) Vendor needs to provide student engagement software.
• Provide an online private campus network with 4 user types that mirrors the framework of our institution: students, faculty, staff and alumni. This allows for users to have their own network group that others cannot gain access to unless given permission through the approval process.
• Ability for specific departments to interact with each other and students across multiple levels like multiple departments or users that approve events or services that utilize the event and organization registration process.
• Structure allows administrators to have authority specialized to their departments and across departments as needed (operates individually)
• Data collection can be aggregated on multiple levels and combined and separated as needed. A reporting and analytics tools that allows for greater analysis in detail while comparing results to demographic information along with a correlation of common results.
• Departments are able to manage their organizations landing pages independently
• Customize how students interact with the system and what they have access to depending on the student’s participation and membership
• Customize and manage calendars within groups and overall for all groups at multiple levels. Different calendars need to exist for individual organization use as well as for overall public and university level use.
• Structure student contacts at multiple levels, individual students and groups (independently from one another)
• Provide complex forms with multiple approval stages that build on existing information that’s unique to each student and defined criteria from previous pages. The same form has availability to the public. Additionally, the form would allow event registration, payments, travel waivers, and generate post-event surveys that are automatic. For credit card processing, the solution must be PCI compliant. Mississippi State University currently uses Nelnet for credit card processing. Please state whether the solution can integrate with Nelnet.
• Customize a separate organization registration and renewal process for various groups with different needs that departments oversee along with custom configuration setup and tools available to those groups
• Ability for student groups to customize their landing page (sometime referred to as a portal) including branding with photos, membership, document storage, financial management, event planning, messaging, involvement tracking
• Allow groups to advertise events on their landing page and request permission to advertise on the campus calendar.
• Notification to members when a document, event, and general updates have been added.
• Students are able to create a co-curricular transcript that would be verified by staff.
• Ability to link department institutional websites and other external websites; public websites that integrate with the network
• Manage student organizations financial accounts and allow departments to customize the process to meet individual needs
• Ability for participants to sign up for service projects and volunteer opportunities.
• User-friendly and intuitive user interface
• Ability to create ballots and conduct elections within landing pages and across varies organization and overall for the entire community
• Interface with multiple attendance tracking hardware. Please provide supported vendors and hardware
• Access to past students’ co-curricular transcripts by both students and administrators
• Ability to create reports from past years about student involvement within organizations
• A multi-tiered approach allowing for multiple departments and administrators to customize the tool to their needs
• A variety of reports and analytics specific to department needs, including the ability to export in a variety of formats
• Manage a multi-level calendar tool with the ability to provide viewing permissions to
different groups or users
• The software must be able for users to create a public website that is WCAG 2.0 Level AA compliant.
• Customized user experience including a dynamic community home page and access to calendars, files, and forms in one single space
• The ability for departments to promote and advertise important events and activities directly to users in the community
• An intuitive and easy to use interface for both administrators and students
• A mobile friendly web version as well as a native iOS and Android app available for download from the app store, which has additional tech support
• A robust read and write API for flexible integration of data
